Warehouse Management System Built for Kenyan Businesses
Know exactly what stock you have, where it sits, and where it went. BluChip WMS controls receiving, putaway, picking, packing and dispatch in one system, with every movement traced and nothing edited silently.
Designed and supported in Nairobi by BluChip Technologies.
Stock Records That Don't Match the Shelf Cost You Money
If your warehouse runs on spreadsheets, paper pick lists and memory, you already know the symptoms. BluChip WMS replaces guesswork with a single, traceable record of every item in your warehouse.
- Stock counts that never match the system
- Pickers walking the wrong aisles, or shipping the wrong item
- Expired or damaged goods discovered too late
- Pallets "lost" somewhere in the racks
- Trucks queuing at the gate with no clear loading order
- No answer to "who moved this, and when?"
One System From the Gate to the Customer's Door
BluChip WMS is a standalone warehouse management system. It runs your warehouse operations on its own, so you don't need to buy or install an ERP first. When you do have an ERP such as ERPNext, the WMS is designed to connect to it.
Every confirmed movement is recorded in an immutable stock ledger. Corrections are made through reversals, never by overwriting history, so your numbers stay trustworthy and audit-ready.
Everything Your Warehouse Needs to Run Accurately
Receiving and Inbound Control
Receive against purchase orders or advance shipping notices by scanning items, quantities, batch numbers, serial numbers and expiry dates. Record shortages, overages and damage on the spot, with photos and notes. Damaged or suspect stock is held automatically so it can't be sold by mistake.
Smart Putaway
Put stock where it belongs, not wherever there's space. The system recommends a destination and checks capacity, weight, storage compatibility and status before you confirm. Operators scan the pallet and the bin, so wrong-location errors are caught immediately.
Bin-Level Location Mapping
Model your real warehouse down to the pallet position: Zone, Aisle, Rack, Bay, Level and Bin. Mark any level as pick face or reserve, set capacities, and print scannable location labels. Find any pallet in seconds.
Real-Time Inventory
See on-hand, available, reserved, picked and blocked quantities by item, location, batch, serial and owner. Search by SKU, barcode, batch, serial, location or order. Quarantined, expired and recalled stock is excluded from allocation automatically.
Allocation, Picking and Packing
Reserve stock without double-allocating, even when several orders compete for the same item. Support FIFO and FEFO allocation. Pickers confirm each pick by scanning location, item and quantity. Short picks are recorded with a reason and routed to reallocation or backorder.
Dispatch and Traceability
Stage orders by carrier or route, verify packages, and confirm handover with the carrier and vehicle details recorded. Every shipped unit traces back to the order line, the pick, and the original receipt.
Yard and Dock Management
Manage inbound and outbound bookings, track vehicles waiting in the yard, and call them to the dock in turn. Set slot lengths per warehouse and adjust them by carrier or load size. A gate screen built for handheld use keeps the queue moving.
Movements and Replenishment
Move stock between locations with scan checks, consolidate partial pallets, and replenish pick faces before they run empty. Every move is logged with who, when and why.
Cycle Counting and Stocktaking
Plan counts by location, item or risk. Use blind counts, recounts and variance approvals, and post adjustments only after the right person signs off. Keep trading while you count, instead of shutting down for a full stocktake.
Returns, Quality and Recalls
Receive returns against the original shipment, inspect them, and decide whether to restock, repair, quarantine or scrap. If a batch is recalled, identify affected stock and shipments and block further allocation.
Dashboards and Reports
A control-room dashboard shows inbound, inventory, outbound and exception status at a glance, with a full-screen mode for the warehouse wall display. Reports cover inventory by location, movement history, dock-to-stock time, fill rate, pick accuracy, count variance and expiry exposure.

Frequently Asked Questions
What is a warehouse management system (WMS)?
A WMS is software that controls what happens inside your warehouse: receiving goods, storing them in the right locations, picking orders, packing and dispatching, and keeping an accurate record of every stock movement.
How much does a warehouse management system cost in Kenya?
Cost depends on the size of your warehouse, the number of users and how much setup and data loading you need. BluChip gives you a clear quote after a short discovery call or demo, so you know what you are paying for before you commit.
Do I need an ERP to use BluChip WMS?
No. BluChip WMS runs on its own. If you already use an ERP such as ERPNext, it can be connected so both systems stay aligned.
Can it handle batch numbers, serial numbers and expiry dates?
Yes. You can track batches, serial numbers and expiry dates from receipt to shipment, and allocate by FEFO so the oldest-expiring stock goes out first.
Can I use barcode scanners?
Yes. BluChip WMS supports keyboard-wedge barcode scanners and camera-based scanning on supported devices, and can print labels for items, pallets and locations.
Is it suitable for a small or mid-sized warehouse?
Yes. It is designed for growing Kenyan businesses that have outgrown spreadsheets but don't need a heavy enterprise system.
Can I run a 3PL business on it?
Yes. The system separates stock by owner so different clients' inventory stays isolated. A client portal where customers can see their own stock is planned for a later release.
How do you stop stock from going missing or being edited quietly?
Every movement is recorded in an immutable ledger. Posted entries can't be edited or deleted. Mistakes are fixed with a linked reversal, and the audit trail shows who did what and when.
How long does implementation take?
It depends on the size of your warehouse and the amount of data to load. We'll give you a clear timeline after a short discovery call.
Is my data secure?
Access is controlled by roles and permissions, with two-factor authentication available, and every action is logged. Each customer has a dedicated installation.
Where is BluChip WMS supported from?
BluChip Technologies is based in Nairobi, Kenya, and supports clients across the country.
What is the difference between a WMS and inventory software or an ERP?
Inventory software or an ERP records how much stock you own. A warehouse management system controls what physically happens in the building: which bin stock goes into, who picks it, in what order, and how it is dispatched. BluChip WMS works on its own, and it is designed to connect to an ERP such as ERPNext when you want both.
Can a Nairobi warehouse replace Excel and paper pick lists with a WMS?
Yes. Most businesses we speak to start from spreadsheets and paper. BluChip loads your items, locations and opening stock, trains your team on scanning, and goes live with every movement recorded, so the system replaces the spreadsheet rather than sitting beside it.
What equipment do we need to start using BluChip WMS?
You need devices with a web browser and an internet connection, such as desktops, tablets or phones. For faster, more accurate work we recommend barcode scanners, either keyboard-wedge scanners or camera scanning on supported devices, and a label printer for locations and pallets.
Does BluChip WMS help with expiry dates and FEFO for food, pharma and FMCG stock?
Yes. Expiry dates are captured at receiving, and allocation can follow FEFO so the stock that expires first is picked first. Expired, quarantined and recalled stock is blocked from allocation, and you can see expiry exposure in reports.
Can BluChip WMS handle multiple warehouses or storage zones?
Yes. You can model sites, warehouses, zones, aisles, racks, bays, levels and bins, set capacities for each, and mark levels as pick face or reserve. Stock is tracked down to the exact pallet position.
Does a WMS replace our accounting and invoicing system?
No. BluChip WMS runs the warehouse: receiving, storage, picking, packing and dispatch. Invoicing, tax and accounting stay in your accounting system or ERP, and the WMS is designed to exchange data with it.
How many users can use the system, and can we control who does what?
You can add the users your team needs. Your administrator creates custom roles, such as receiving clerk, picker, supervisor or inventory controller, and a person can hold several roles in the same warehouse. Every action is logged against the user who did it.
Can we move our existing stock data into BluChip WMS?
Yes. Loading and reconciling your opening stock is part of every rollout. We map your items, barcodes and locations, load your starting inventory, and check it against a physical count before you go live.
Can BluChip WMS be customised for the way our warehouse works?
Yes. Bin layouts, roles, receiving and picking rules, and yard booking slots can be set up for how your warehouse actually runs. During discovery we agree what you need so the system fits your process instead of forcing you to change it.
